This policy explains what personal information Raapid Caapid ("we", "us") collects, why we collect it, who we share it with and the choices you have. It covers our website and, if you become a learner, our mentoring services and the online workspace we give you access to.
Raapid Caapid helps dentists trained outside the United States prepare for US advanced-standing DDS/DMD programs. ADEA CAAPID is a service of the American Dental Education Association. Raapid Caapid is not affiliated with ADEA.
1. Information we collect
When you visit our website
- Basic technical information such as your IP address, browser type and the pages you visit. Our hosting provider processes this to deliver the site and protect it from abuse.
- Visit statistics. We use a privacy-friendly analytics tool that counts visits without cookies and without building a profile of you.
- Spam protection. Our form uses an automated check to tell people from bots. The check may process technical information about your browser.
When you book a free consultation
- Your full name, email address and WhatsApp number.
- The country you live in.
- Where you are in your journey and when you would like to start a US program.
- Anything you write in the message box.
- Your consent to be contacted, and the date and time you gave it.
If you become a learner
To give you mentoring and keep your work organised, we keep:
- Account details: your name, email address, password (stored only in a scrambled, one-way form), time zone, country and WhatsApp number.
- Your progress: the stages of your journey, your study activity and your results on practice questions.
- Your applications: the schools on your shortlist, your applications, their status, checklists and dates. You can keep private notes on an application; only you can see them.
- Your documents: documents you write or upload (for example your personal statement or CV), each version, and your mentors' comments and replies.
- Sessions: the sessions you book, their times, the notes your mentor adds afterwards, and whether a session took place.
- Messages and notifications we send you about your work, by email, in the workspace, or by WhatsApp from your mentor's phone.
- Saved application portal logins (optional): if you choose to save a login so your mentors can review an application portal with you:
- the password is encrypted using a secret phrase that only you know and that we never store;
- only your assigned mentors and our administrators can reveal it, and only with a code from their authenticator app and your secret phrase;
- every reveal is recorded, and you can see that record;
- the login is deleted on the date you choose, or when you delete it.
- Payment records: if you pay us, our payment provider processes your payment details. We do not store full card numbers.
2. How we use your information
- To reply to your consultation request and arrange your free call.
- To provide our mentoring services: planning your journey, reviewing documents, holding sessions, tracking deadlines in your time zone and reminding you of them.
- To keep your account and your saved information secure.
- To improve our website and services, using statistics that do not identify you.
- To meet our legal obligations.
We do not sell your personal information. We do not use it for advertising by others.
3. Our reasons for using it
Depending on where you live, the law may require us to state a legal reason for each use:
- Your consent: for example, contacting you after you book a free consultation, or saving an application portal login. You can withdraw consent at any time.
- To provide the service you asked for: for example, mentoring, document reviews and sessions once you enroll.
- Our legitimate interests: keeping the website and accounts secure and improving our services, in ways you would reasonably expect.
- Legal obligations: for example, keeping financial records.
4. Who we share it with
- Our team: your assigned mentors and our administrators, only as needed to support you.
- Service providers who run parts of our service for us, under agreements that protect your information:
- website hosting and security;
- our database;
- email delivery;
- video calling (for example Zoom or Google Meet) when you join a session;
- WhatsApp, when a mentor messages you there;
- payment processing.
- Schools and ADEA: we do not share your information with schools or ADEA. You submit your application yourself.
- Legal reasons: if the law requires it, or to protect the rights and safety of you, us or others.
5. International transfers
Our team works from India and the United States, and our service providers may store information in other countries. When your information moves between countries, we take reasonable steps to protect it as this policy describes.
6. How long we keep it
- Consultation requests: if you do not enroll, we delete your request 12 months after our last contact with you.
- Learner accounts: we keep your account while you have access, which continues for 2 months after you are accepted into a program. We delete or anonymise your information within 12 months after your access ends, unless you ask us to delete it sooner or the law requires us to keep it longer.
- Saved portal logins: deleted on the date you choose, when you delete them, or when your access ends, whichever comes first. The record of reveals is kept without the password.
- Financial records: kept for as long as the law requires.
7. How we protect it
We use encrypted connections, scrambled passwords, access limited to the people who need it, two-step sign-in for anyone who can reveal a saved login, and records of sensitive actions. No system is perfectly secure, so please use a strong password and keep your secret phrase private.
8. Your choices and rights
Depending on where you live (for example under India's Digital Personal Data Protection Act, the EU and UK GDPR, or US state laws), you may have the right to:
- see the personal information we hold about you;
- correct it;
- delete it;
- withdraw your consent;
- object to or limit how we use it;
- receive a copy of it in a common format.
To use any of these rights, email contact@example.com. We will reply within 30 days. You may also complain to your local data protection authority.
9. Children
Our services are for dental graduates. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
If we change this policy, we will update the effective date above. If the changes are significant, we will tell learners by email.
